Refund Policy

This page explains, plainly, what's refundable and what isn't when you pay for ChatPilot, operated by Wyrelane (Pty) Ltd. It works alongside our Terms of Service and Cancellation Policy — if anything here seems to conflict with those, this page is the more specific one on refunds specifically.

The once-off setup fee (where one applies)

Most plans have no setup fee at all. Where one does apply (shown clearly before you sign up), it's non-refundable once your account has been created — it covers the cost of getting your account, assistant, and portal set up and ready to use, and that work happens immediately, regardless of how long you continue using the service afterward.

The one exception: if we're genuinely unable to deliver the service — for example, your WhatsApp number never gets successfully connected due to a failure on our end — we'll refund the setup fee in full. This isn't a general change-of-mind refund; it specifically covers us not delivering what you paid for.

Monthly subscription payments

Monthly fees are billed in advance for that billing period. If you cancel partway through a month, your assistant keeps working until the end of that paid period, but we don't refund the unused portion — the same "no refund for partial periods" approach most subscription services use.

If a monthly payment is charged in error — for example, billed after you'd already cancelled, or charged twice for the same period due to a technical fault — we'll refund that specific charge in full. Let us know and we'll sort it out directly, not through a lengthy dispute process.

How payments are processed

Payments are handled by PayFast, a South African payment processor — we never see or store your card details directly. Any refund we approve is issued back through PayFast to your original payment method. Processing time after that point depends on PayFast and your bank, not on us.

Requesting a refund

If you believe you're owed a refund under this policy, reach out via WhatsApp at the number listed on our homepage, or by email. Let us know your business name and roughly when the payment happened — we'll look into it and respond directly, not leave you waiting on a form.

Chargebacks and disputes

If you have a genuine billing concern, we'd much rather hear from you directly first — it's almost always faster than a bank or card dispute process, and we're generally happy to resolve reasonable requests without needing one. Unauthorized chargebacks for legitimate, correctly-processed charges may result in your account being suspended while the matter is resolved.
