Terms of Service

These terms govern your use of ChatPilot, an AI-powered WhatsApp assistant service for South African small businesses, operated by Wyrelane (Pty) Ltd. By signing up for or using ChatPilot, you agree to these terms.

What ChatPilot provides

ChatPilot connects an AI assistant to your business's WhatsApp number, trained on the products, pricing, and policies you provide, to answer common customer questions automatically. Depending on your plan, this can include taking booking requests, sending product photos, and updating your WhatsApp business profile.

Setup fee and monthly subscription

Signing up involves a recurring monthly subscription and, for some plans, a once-off setup fee — both shown clearly before you sign up. There's no long-term lock-in contract — you can cancel at any time from your client portal. See our Refund Policy for exactly what's refundable.

Where a setup fee applies, it's non-refundable once your account is created, since it covers the cost of getting your account set up and ready regardless of how long you continue using the service afterward.

Payment

Monthly fees are billed in advance. If a payment fails or lapses, we'll reach out before any interruption to your service. Continued non-payment may result in your bot being paused until the account is settled.

Cancellation

You can cancel your subscription at any time from your portal, effective immediately. There's no cancellation fee. Amounts already paid for the current billing period are not refunded for partial months. See our Cancellation Policy for the full details.

Your responsibilities

How the AI works, and its limits

ChatPilot's bot answers based on the content you've given it. It's designed to hand off to you personally when a question falls outside that content, rather than guess. Even so, AI-generated responses can occasionally be imperfect — review what your bot is telling customers, especially early on, and let us know if anything looks off.

ChatPilot is a tool to help you respond to customers faster — it doesn't replace your own judgment on anything that matters (pricing changes, legal commitments, sensitive customer situations). Review your bot's content regularly.

Liability

To the extent permitted by law, ChatPilot's liability for any claim arising from your use of the service is limited to the fees you've paid in the three months prior to the claim. We're not liable for indirect or consequential losses (like lost business) arising from bot downtime, an inaccurate AI response, or a third-party service outage (e.g. WhatsApp or our hosting provider being unavailable).

Availability

We aim to keep ChatPilot reliably available, but as with any online service, occasional downtime can happen — including from third parties we depend on (WhatsApp/Meta, our hosting and AI providers) that are outside our direct control.

Changes to the service or these terms

We may update ChatPilot's features or these terms over time. If we make a material change to these terms, we'll let active clients know directly, not just update this page silently.

Governing law

These terms are governed by the laws of South Africa.
